Shelf Gem Copilot Feature Overview




What is Shelf Gem Copilot?

Shelf Gem Copilot is an AI-based feature that leverages all the capabilities of OpenAI and Large Language Models and customer’s content stored in Shelf Knowledge Management System to assist content creators and content managers in creating and managing various content. 
In short, Shelf Gem Copilot:
  • provides a comprehensive and powerful tool that enhances the content creation experience
  • allows organizations to reduce both the time and efforts required to create content by improving the quality of writing and offering intelligent suggestions, ensuring the text is slick, efficient, and contains no mistakes
  • generally, streamlines the content editors’ and content managers’ work and makes it easier.


    

Preconditions 

Before you can start enjoying all the benefits of Shelf Gem Copilot, you need to enable it. For this purpose, when logged in to Shelf under your valid credentials, go to Admin Panel > User Groups > [USER_GROUP_NAME] > App Permissions and switch the Gem Copilot toggle on.

What functionality does Shelf Gem Copilot have? 

Shelf Gem Copilot is capable of 
  • creating the new Gem’s title and description automatically, based on the provided content, upon a request entered by the user
  • creating the new Gem’s content automatically based on a user-entered request
  • editing both the new and existing Gem’s title, description, and content, in particular: fixing its grammar and spelling, fixing its formatting, making it simpler and shorter, changing its style and tone (business, conversational etc.), and compiling a brief summary of the text if needed


       

How to start using Shelf Gem Copilot? 

In order to start enjoying all the benefits of Shelf Gem Copilot, you need just to launch the Copilot widget from the Gem page by clicking the respective button.

Once done, the Copilot widget appears in the right part of the window, and you can start using it for creating and/or editing your content. There is also the Ask Copilot section in the text formatting toolbar. You can also use it to enhance the content you create.

How to use Shelf Gem Copilot in real-life scenarios?

When you are on the Gem page and have opened the Copilot widget by clicking the respective icon, you can immediately start creating great content for your organization or customers.


                    

Generating Gem title and description

You can use these two predefined actions - Generate Title and Generate Description - to create beautiful titles and descriptions for your articles (Gems). To complete these actions, make sure to have some text entered in the Gem content field.

Once the title and/or description is generated, you can copy it by clicking the respective button and paste it in the respective Title and/or Description fields. You can also like or dislike the result by selecting one or the relevant icons - thumb up and thumb down.


                      

Editing the Gem content 

The Shelf Gem Copilot allows you to streamline the content you create manually. To do so, the Copilot has a number of predefined actions available for you from the Ask Copilot menu.

See the table below for a brief description of what each of these actions can do.

Improve writing

Makes the text more clear, concise, and easy to understand

Fix grammar and spelling

Proofreads and fixes text grammar and spelling

Fix formatting

Uses charts, tables, lists, arrows, etc. to make your text look better and more user-friendly

Simplify

Rewrites the text in the plain language to make it clear for even a teenager or trainee

Summarize

Summarizes the main points of the text in a bullet-point format.

Make shorter

Makes the text shorter.

Change tone (professional, friendly, confident, casual, straightforward)

Changes tone of voice of your text to one of the selected options. 


The above actions work on the highlighted text, so make sure to select the needed portion of your Gem content to which you want to apply a certain Copilot action.


                        

Applying follow-up improvements to text 

After applying one of the above actions to improve your text, you can make it better, shorter, or simpler by selecting one of the predefined AI-based editing options.

You can also like or dislike this text by clicking one of the feedback icons. Finally, you can copy it for inserting in the Gem content field.

When you have selected one of the Ask Copilot options or one of the follow-up actions and the Copilot starts generating the text, you can stop it by clicking the STOP GENERATING button

Clearing the chat with Shelf Gem Copilot 

If you mistakenly select any unneeded option or just want to reset the chat with the Copilot, you can easily clear the chat history by clicking the relevant button.

Improving Grammar, Spelling, Punctuation

Our Copilot is your reliable partner for improving the quality of your writing. It offers intelligent suggestions, ensuring your text is polished and error-free: it fixes grammar, spelling, and punctuation. 
Highlight the text that needs to be fixed, select the Improve grammar & spelling option from the Ask Copilot menu, and the Copilot suggests the updated text that can be copied and pasted.

Fixing the style of your text 

The Shelf Gem Copilot helps you create compelling and professional content by changing the tone of the text. It is very useful if you have created some text for one target audience and now need to address another audience. Select the needed tone option and wait for the result.

Translating the text 

You can also translate the needed text to another language: Shelf Gem Copilot has multilanguage support. Just highlight the needed text and ask the Copilot to translate it.

What are known limitations of Shelf Gem Copilot?

Along with the vast functionality, Shelf Gem Copilot in its search-enhancing component has certain limitations listed below.
  • Copilot answers are in English only: At the moment, Copilot only supports the English language while working with follow-up actions. As a result, it may occur that Copilot generates answers for you in English even if the content you create is in some other language
  • Max 4000 words in a Gem (depends on the language): Make sure that the content you create does not exceed this limit. Otherwise, our Copilot won’t be able to process it properly
  • Only text and Wiki-based Gems support: the following Gem types are currently supported: Article, Wiki, Post, FAQ, Organization, and Person. No Decision Tree, Document, and non-text Gem types such as Image, Video etc. are supported.


Data safety and security 

Building responsible AI is a part of Shelf’s commitment to providing our customers with trusted products and solutions. Shelf leverages a set of design principles with respect to our AI products, which include privacy, security and compliance by design.

It is imperative that we keep our customers’ data secure, and this responsibility is of the utmost importance to us. We do not compromise on technology that does not meet our security and compliance standards, and we put in place checks and balances to evaluate our usage of data collected by our technology to ensure it is used responsibly.

In addition to Shelf proprietary machine learning models, Shelf offers Copilot features supported by OpenAI and Azure OpenAI Services. While these features are generative in nature, neither OpenAI nor Azure OpenAI will use your inputs to train its models or otherwise improve its services according to OpenAI Data Usage Policies.
